Position Summary

The Preservation Hall Venue Coordinator coordinates rental activity and routine venue operations for Preservation Hall, a premier event venue and an important source of revenue supporting the San Marco Preservation Society’s mission. The position serves as the primary point of contact for prospective and existing clients and manages rentals from initial inquiry through event completion. The successful candidate should enjoy building relationships with clients and identifying opportunities to grow Preservation Hall’s reputation as one of Jacksonville’s premier small event venues.

Preservation Hall serves both as a public event venue and a community asset. The Venue Coordinator works with the Executive Committee to balance rental activity with Board-approved organizational use of the facility.

This is a hybrid position with flexible scheduling. Much of the administrative work may be performed remotely; however, the Venue Coordinator is required to work on site to conduct facility tours, coordinate vendors, inspect the property, support rental events, and perform other duties necessary for successful venue operations. Evening and weekend work is required.

Key Responsibilities

Responsibilities vary based on rental activity and event schedules; not all duties are performed daily or weekly. The role is designed to average approximately 10–12 hours per week.

  • Rental sales and client service: Respond to inquiries, provide venue information, conduct tours, follow up with prospective renters, and serve as the primary client contact throughout the rental process.
  • Booking administration: Prepare rental agreements, process deposits and payments, maintain rental records, and manage the Preservation Hall reservation calendar.
  • Event coordination: Coordinate event logistics, vendor access, setup, cleanup, facility policies and security, and other details necessary for successful rentals.
  • Venue readiness: Coordinate cleaning between events, conduct pre- and post-event inspections, and document maintenance or damage concerns.
  • Facilities coordination: Identify routine maintenance needs and coordinate approved repair or maintenance activities with vendors and SMPS leadership.
  • Venue improvement and reporting: Recommend improvements to pricing, marketing, rental operations, and customer experience, and provide periodic reports on rental activity and operational issues.

Desired Qualifications

  • Event venue, hospitality, property management, or related experience preferred
  • Excellent customer service and communication skills
  • Strong organizational skills and attention to detail
  • Comfortable coordinating clients, events, and vendors
  • Comfortable learning and using common office, scheduling, and booking platforms
  • Ability to work independently and exercise sound judgment
  • Availability for evening and weekend work as required by the rental schedule

Working Conditions and Requirements

  • Ability to occasionally lift, carry, and move chairs, tables, signage, and event supplies weighing up to 40 pounds. 
  • Availability to work evenings, weekends, and occasional holidays as required by the rental schedule.
  • Ability to travel locally to meet vendors, contractors, and City representatives. 
  • Possession of a valid driver’s license and reliable transportation.
  • Final candidates may be required to successfully complete a background screening.

Compensation and Schedule

The anticipated compensation range is $22-25 per hour, based on the candidate’s experience and qualifications, plus a performance-based commission tied to rental revenue. Details will be discussed with finalists during the interview process.

This a hybrid/flexible position averaging 10–12 hours per week. Workload will vary based on inquiries, tours, scheduled rentals, and seasonal activity. Evening and weekend availability is required.
