Position Summary

The Operations Coordinator serves as the primary administrative staff member for the San Marco Preservation Society, supporting the organization’s routine operations and assisting the Board of Directors in advancing the organization’s mission.

This is a hybrid position with flexible scheduling. Some administrative tasks may be performed remotely but the Operations Coordinator is expected to work on-site as needed to fulfill responsibilities described below. Work hours may be arranged in coordination with the Executive Committee to meet organizational needs.

Key Responsibilities

Responsibilities vary throughout the month and year; not all duties are performed daily or weekly. The role is designed to average approximately 15 hours per week, with priorities coordinated with the Executive Committee.

  • Membership and constituent support: Maintain membership and donor records, process renewals and acknowledgements, and respond to routine email, phone, and mail inquiries.
  • Communications: Prepare the monthly email newsletter and support routine social media, website, and event-promotion updates.
  • Administrative operations: Maintain organizational calendars, contact lists, digital files, office supplies, correspondence, and written administrative procedures.
  • Financial administration: Deposit checks, route invoices, and coordinate routine documentation with the Treasurer and bookkeeper.
  • Programs and merchandise: Coordinate personalized brick, house plaque, and merchandise orders and provide administrative support for SMPS events and programs.
  • Board, committee, and volunteer support: Coordinate with the Executive Committee, committees, volunteers, and community members and prepare routine operational reports as needed.
  • Facilities coordination: Help coordinate routine maintenance and repair activities by scheduling contractors, obtaining quotes when requested, communicating with the city, and tracking completion.

The duties described above are intended to identify the principal responsibilities of the position and are not intended to be an exhaustive list. Additional duties may be assigned by the Executive Committee as necessary.

Desired Qualifications

  • Strong organizational and administrative skills
  • Excellent written and verbal communication
  • Comfortable learning and using common office, email, website, and social-media platforms
  • Ability to work independently and manage competing priorities
  • Customer service or nonprofit experience preferred

Working Conditions and Requirements

  • Ability to occasionally lift and move office supplies, packages, event materials, etc. weighing up to 25 pounds.
  • Ability to travel locally for meetings, bank and post office visits, etc.
  • Possession of a valid driver’s license and reliable transportation.
  • Final candidates may be required to successfully complete a background screening.

Compensation and Schedule

The anticipated compensation range is $24–28 per hour, based on the candidate’s experience and qualifications. This a hybrid/flexible position averaging 15 hours per week. Workload and scheduling will vary based on organizational priorities, events, and seasonal activity.

The employee may have opportunities to work additional paid hours in support of organizational events, based on interest, availability, and organizational need. Any additional hours must be approved in advance and are not guaranteed.
